Terms and Conditions

Effective 5 October 2026

These Terms govern your use of AureliusOS, its apps and its websites (together, the “Service”). Please read them together with our Privacy Policy.

1. Who we are and what these Terms cover

The Service is provided by Zero Employees B.V., a private limited company (besloten vennootschap) incorporated under the laws of the Netherlands (“Zero Employees B.V.”, “we”, “us”). You can reach us through our contact form.

By creating an account, accepting an invitation, or using the Service, you agree to these Terms. If you use the Service on behalf of an organisation, you confirm that you may bind that organisation, and “you” then means both you and the organisation.

The Service is intended for businesses and professionals. If you are a consumer, the mandatory consumer protection rules of the country where you live continue to apply, and nothing in these Terms limits them.

2. Accounts, organisations and roles

  • You must be at least 16 years old and give accurate information when you sign up.
  • One account gives access to every app your organisation has licensed. You may sign in with an email address and password, or with a supported provider such as Google or Microsoft.
  • Keep your credentials confidential, use two-step sign-in where we ask for it, and tell us without delay if you suspect unauthorised use. You are responsible for activity under your account.
  • An organisation has owners, billing administrators, administrators and members. Owners and administrators decide who joins and which apps and seats each member receives, and they are responsible for the people they invite.
  • We may suspend an account that is used in breach of these Terms or that puts the Service or others at risk. Where reasonable, we tell you first and give you a chance to fix the problem.

3. Subscriptions, trials, fees and taxes

  • Each app is licensed per organisation, either per seat or for the whole organisation, on the plan and price shown when you subscribe.
  • Free trials last for the period shown at sign-up. At the end of a trial the app stops unless your organisation subscribes.
  • Paid subscriptions renew automatically for the same billing period until they are cancelled. Fees are payable in advance. Our payment processor, Stripe, handles payment details; we do not store full card or bank account numbers.
  • You can cancel an app at any time; it then runs until the end of the paid period. Except where the law requires otherwise, fees already paid are not refunded.
  • Prices exclude VAT and other taxes, which are added where applicable. Business customers in the EU outside the Netherlands who provide a valid VAT number are invoiced under the reverse-charge rules.
  • If a payment fails, we retry it and tell the organisation’s billing contacts. Access continues during a grace period; after it ends, we may suspend the app. Your data is kept while the subscription is suspended.
  • We may change prices for future billing periods. We announce a change at least 30 days in advance, and you may cancel before it takes effect.
  • Promotion codes and discounts apply only as described when they are offered and cannot be exchanged for cash.

4. Acceptable use

You must not, and must not help anyone else to:

  • use the Service in breach of any law or of anyone’s rights, including intellectual property, privacy and data protection rights;
  • upload malware, or try to gain unauthorised access to the Service, other accounts or our systems;
  • interfere with or overload the Service, or get around its limits, licensing or security measures;
  • copy, resell or sublicense the Service, or reverse engineer it except where the law expressly allows;
  • use the Service to build a competing product, or to train or benchmark AI models on the Service or its outputs without our written consent;
  • use the AI features to produce unlawful, deceptive, discriminatory or harmful content, or to make decisions with legal or similarly significant effects on people without appropriate human review;
  • use the Service in breach of the export control and sanctions laws of the EU, the Netherlands, the United States or any other applicable country.

5. Your content and personal data

You and your organisation keep all rights in the content you put into the Service (“Customer Content”). You give us the right to host, copy, process and display Customer Content only as needed to provide, secure and support the Service for you, and for no other purpose. We do not sell Customer Content, and we do not use it to train AI models.

You are responsible for Customer Content and for having a lawful basis to put personal data into the Service. Where we process personal data on your organisation’s behalf, we act as its processor under Article 28 of the GDPR, under our Data Processing Agreement, which forms part of these Terms and is available on request through our contact form. How we handle personal data as a controller, for example account and billing data, is set out in our Privacy Policy.

6. AI features

Some features use AI models, run by us or by the AI providers named in our Privacy Policy, to generate text, scores, summaries and suggestions. AI output can be inaccurate, incomplete or out of date, and it is not legal, financial, tax, medical or other professional advice. Review output before you rely on it. You remain responsible for decisions you make with it and for telling others where the law requires that content was generated with AI.

7. Third-party services

The Service works with services of other companies, such as sign-in with Google or Microsoft, payments by Stripe and any calendar or email account you choose to connect. Their own terms and privacy policies apply to your use of them, and we are not responsible for them.

8. Our intellectual property

The Service, its software, design, content and trademarks belong to Zero Employees B.V. or its licensors. During your subscription we give you a limited, non-exclusive, non-transferable right to use the Service for your organisation’s internal business purposes, under these Terms. If you send us feedback or suggestions, we may use them freely and without obligation to you.

9. Confidentiality

Each party keeps the other’s non-public business information confidential, uses it only to perform under these Terms, and shares it only with people who need it and are bound by similar duties. This does not apply to information that is public through no fault of the receiving party, was already lawfully known to it, or must be disclosed by law.

10. Availability, support and changes

We work to keep the Service available, secure and backed up, but we do not promise that it will be uninterrupted or error-free, unless a separate written agreement sets service levels. We may carry out maintenance, and we may change or retire features. If a change materially reduces a paid app you use, we tell you in advance, and you may cancel that app and receive a pro rata refund of fees prepaid for the period after the change.

11. Warranties

Each party confirms that it has the right to enter into these Terms. Apart from what these Terms expressly say, and to the extent the law allows, the Service is provided “as is” and “as available”, and we make no other warranties, express or implied, including warranties of merchantability, fitness for a particular purpose or non-infringement.

12. Liability

  • Neither party is liable for indirect or consequential loss, or for loss of profit, revenue, business, goodwill or data, except where the loss results from a breach of the confidentiality or data protection obligations in these Terms.
  • Each party’s total liability arising from or relating to these Terms in any 12-month period is limited to the fees your organisation paid for the Service in the 12 months before the event giving rise to the claim, or EUR 100 if no fees were paid.
  • Nothing in these Terms limits liability for intent or gross negligence (opzet of bewuste roekeloosheid), for death or personal injury, for fraud, or for any liability that cannot be limited by law.

13. Indemnity

You will defend and hold us harmless against claims by third parties arising from Customer Content or from your use of the Service in breach of these Terms or the law. We will tell you promptly about such a claim and let you control its defence, with our reasonable cooperation.

14. Term and termination

  • These Terms apply for as long as you use the Service.
  • You may stop using the Service and close your account at any time; cancel paid apps first so they do not renew.
  • We may terminate or suspend your access if you materially breach these Terms and do not remedy the breach within 14 days of our notice, or at once where the law requires it or the breach threatens the Service or others.
  • After termination, your organisation can request an export of its Customer Content for 30 days. We then delete it, except where we must keep it by law; copies in backups are overwritten in the normal course.
  • Sections that by their nature should continue, such as those on fees owed, intellectual property, confidentiality, liability and governing law, survive termination.

15. Changes to these Terms

We may update these Terms. We announce material changes at least 30 days before they take effect, by email or in the Service. If you do not agree, you may cancel before the change takes effect; if you continue to use the Service after that date, the updated Terms apply.

16. Governing law and disputes

These Terms and any dispute arising from them are governed by Dutch law. The United Nations Convention on Contracts for the International Sale of Goods does not apply. Disputes are submitted exclusively to the competent court in Amsterdam, the Netherlands. If you are a consumer, you also keep the protection of the mandatory law of the country where you live and may bring proceedings in its courts.

17. General

  • These Terms, together with any order form and the Data Processing Agreement, are the entire agreement between us about the Service. If they conflict, the order form prevails, then the Data Processing Agreement for personal data, then these Terms.
  • If a provision is invalid, the rest remains in force, and the invalid provision is replaced by a valid one that comes closest to its purpose.
  • Neither party is responsible for delays caused by events beyond its reasonable control.
  • You may not transfer your rights under these Terms without our consent. We may transfer them to a company in our group, or as part of a merger or sale of the business, if your rights are not reduced.
  • Not enforcing a right is not a waiver of it.
  • We may send notices by email to the address on your account or the organisation’s billing contacts. These Terms are written in English; a translation is for convenience only.

18. Contact

Questions about these Terms: send them through our contact form.
